INTAKE SPECIALIST/CLIENT SERVICES COORDINATOR

As a part of our focus on relationships, Smedley Law Group is looking to hire an Intake Specialist/Customer Service Coordinator for our family law firm in Woodbury, Gloucester County. As the saying goes, you never have a second chance to make a first impression: our Customer Service Coordinator is the “voice” of the firm and most times is the first contact a potential client will have with our office, making this role an extremely important one.

In the role of Client Service Coordinator, you will:

• Speak with potential clients, determine the particular issues he or she is facing and effectively communicate that the firm is the best choice to resolve those issues.
• Articulate the value of our services and effectively overcome objections, including addressing the consultation fee.
• Build rapport with potential clients and guide them through the decision-making process.
• Collaborate with attorneys and other staff to ensure a seamless transition from initial contact to client engagement.
• Follow up with potential clients who either did not book a consultation or did not retain after consulting with us, with the goal of converting those individuals to retention.
• Maintain complete and accurate records of client interactions and follow-up activities in our system.

We are all about cultural fit and employee success, so the right candidate will have the following qualities:

• Proven experience in sales, preferably in the legal industry or a related field.
• Strong objection-handling skills, including being confident enough to ask questions designed to overcome objections that arise during a call with a potential new client.
• Be warm, empathetic, and comforting during the intake process, as well as managing emotional clients while maintaining a friendly demeanor and placing an emphasis on customer service.
• Knowledge of legal terminology and processes is preferred.
• Have the ability to handle confidential information with discretion.
• Possesses basic administrative skills with proficiency in Word, Outlook, and Excel.
• Be diligent and independent, requiring minimal oversight and taking initiative not only in his or her personal development but in the firm’s growth and overall success.
• Is a team player with no interest in office “drama”.
• Detail oriented with strong organizational skills.
• Adaptability and resilience in a fast-paced, client-focused environment.
• Appreciates that consultations (and retaining clients) are the lifeblood of a practice.

A professional with the right fit will have a proven track record in closing sales and can demonstrate that he or she is able to work independently to follow up on potential new client leads.
